HIPAA-Safe Use Guidelines
Dental Billing Command Center supports organized operations, but safe handling of patient information depends on correct configuration, agreements, permissions, and user behavior.
Effective August 1, 2026. Questions about these terms may be submitted through the contact form on our website.
Marketing website forms
Do not submit protected health information through this public website. Demo and onboarding forms are for company contact and setup information only.
Before using patient information
- Confirm that every relevant platform and integration is approved for the intended use.
- Have required Business Associate Agreements in place.
- Use only approved fields, forms, portals, and communication channels.
- Apply role-based access and the minimum necessary standard.
- Train every employee and client-office user before granting access.
Access management
Each user should have an individual login. Do not share passwords. Remove access promptly when a user changes roles or leaves the organization. Review permissions regularly and enable available security controls, including multifactor authentication.
Data minimization
Enter only the information necessary for the authorized billing task. Avoid copying full clinical records, identification documents, payment card information, or unrelated sensitive details into notes or messages.
Customer responsibility
Each customer is responsible for determining its own legal and regulatory obligations, configuring the service appropriately, training users, and monitoring compliance. The service does not replace legal, privacy, security, or compliance advice.
Suspected incidents
Immediately restrict access and follow your organization’s incident-response process if information is sent to the wrong location, accessed by an unauthorized person, or otherwise exposed. Preserve relevant records and seek qualified compliance guidance.
